Draft — last updated 2026-07-24. Not yet published or in effect.
This page explains what [COMPANY LEGAL NAME] ("Arbitration Desk," "we," "us") stores when you use the Arbitration Desk tool, and what choices you have about that information.
What we store
When you use Arbitration Desk, we store:
- Your dealer account. The email address and credentials you use to sign in, and basic account details tied to your dealership.
- Documents you upload. The auction and vehicle paperwork you submit for a claim, such as bills of sale, repair estimates, offer emails, and diagnostic reports.
- Data extracted from those documents. The structured information our system reads out of your uploaded files (figures, dates, condition notes, and similar details) so it can be used in your case.
- Your case records. The claim itself, the policy analysis run against it, and the rebuttal letter generated for you.
- Payment records. Records of what you were charged and whether a claim was paid or refunded. Card numbers are never stored by us directly; payments are processed by Stripe, our payment processor.
Why we store it
We store this information to run the service you're asking for: to hold your account, process the documents you upload, generate your rebuttal letter, and keep a record of what you were charged and for which claim, including if a refund is issued under the money-back guarantee.
Who else sees it
We use a small number of outside services to run Arbitration Desk, and your data passes through them as part of normal operation:
- Our account/authentication provider, to manage sign-in and keep your account secure.
- Our AI document-reading provider, to read and extract information from the documents you upload and help draft your rebuttal.
- Stripe, to process payment and refunds.
We do not sell your data. We do not share it with anyone beyond what's needed to run the service described above, and we don't currently use any analytics, advertising, or tracking tools on this product beyond what's described in this policy.
How long we keep it
We keep your account, documents, and case records for as long as your account is active, so you can come back to a claim later. [RETENTION PERIOD AFTER ACCOUNT CLOSURE TO BE CONFIRMED].
Your rights
You can ask us, at any time, to:
- See what we have. Request a copy of the account, document, and case data we hold for you.
- Delete it. Request that your account and associated data be deleted, subject to what we're required to keep for legal, tax, or payment-recordkeeping reasons.
- Correct it. Ask us to fix inaccurate account information.
To make any of these requests, email [PRIVACY CONTACT EMAIL]. We'll respond directly rather than through an automated form.
Security
We use industry-standard measures to protect your account and documents, including encrypted connections and access controls limiting who and what can read your data. No system is perfectly secure, and we can't guarantee absolute protection against every possible risk.
Changes to this policy
Because this is a draft awaiting legal review, this page is expected to change before it's finalized. Once finalized, we'll note the date of any future update here.
